Unauthorized Canvassing of Business by Agents: Guidelines for Post Offices

To maintain smooth operations and prevent unauthorized canvassing, post offices must follow these guidelines:

1. Separate Business Hours for Agents: 

Designate specific hours for agents to conduct business during post office hours. Ensure that these hours do not impact service to the general public.

2. Flexibility During Non-Peak Hours:

Postmasters can accept agents' transactions beyond the designated hours if there is no rush at the counter.

3. Cooperation with Agents: 

Provide agents with cooperation and courtesy during their designated business hours. Allow them to enter the post office public hall during these hours.

4. Action Against Fraudulent Agents: 

If an agent is involved in a fraud case, the appointing authority must cancel their agency immediately. Inform all post offices in the division to cease business with the agent and display a notice suspending business with the agent.
