Sub : Instructions regarding proper Booking and Delivery of Accountable Mail in IPVS & DPMS
This is regarding various issues noticed in booking and delivery of accountable mail through CSI
2. While reviewing the booking and delivery data captured in the system, it has been observed that:
Complete Address of Senders and addressees are not being entered by the counter PAs in POS at the time of booking of accountaable mail
Moreover phone numbers of senders and addressees are also not captured in may cases at the time of booking of accopuntable mail in POS.
Proper remarks are not being entered by the Delivery Post Offices at the time of taking returns from the postman in DPMS
No utilization of DARPAN-CSI in Branch Post Offices.
3. The address these issues, strict compliance of following issues by all Postal Offices must be ensured.
To enter the completed address of the sender and addressee in POS so that complete address can be printed on the delivery slip at the destination delivery post office. Besides, the mobile number of sender and addressee may also be entered in POS at the time of booking so that SMS alerts can easily sent to both of them.
To enter proper remarks in the DPMS module of CSI while taking the returns of accountable mails.
All SOs should close bags to Branch Post Offices through the CSI system and Branch Post Office should receive the bags in DARPAN-CSI. In case, the Sub Post Office is as TNF location the Postmaster may be clearly instructed to manually update the delivery status received from the BOs in the legacy system.
To use the PMA for delivery updation of accountable mails. In case BO is not having mobile connectivity. |The delivery status of such BOs should be manually updated in the SOs.
4.1 Besides, in IPVS there is an option to deliver the bulk SP articles from NSH itself . Circles should use this option in case of bulk delivery to reduce the burden of delivery of bulk articles from delivery post offices.
It is requested to issue suitable instructions to the fields units in this regard.
